Transcript Library

The Transcript Library is your home base in CallVault. It’s where all your synced Fathom calls live, organized and searchable.

The Main Interface

When you log into CallVault, you land on the Transcripts page. It has three tabs:

SYNCFetch and import calls from Fathom
ANALYTICSSee stats about your call library

TRANSCRIPTS Tab

This is where you spend most of your time.

The Call Table

Your calls display in a sortable table with columns:
  • Title - The meeting name from Fathom
  • Date - When the call occurred
  • Duration - How long the call lasted
  • Participants - Who was on the call
  • Tags - Any tags you’ve applied
Click any column header to sort by that field. The search bar at the top lets you find calls by:
  • Title keywords
  • Participant names
  • Words in the transcript
Just type and results filter instantly.

Folder Sidebar

On the left side, you’ll see your folder structure:
  • All Transcripts - Shows everything
  • Your custom folders - Calls you’ve organized
  • Uncategorized - Calls not in any folder
Click a folder to filter the view to just those calls.

Call Detail Dialog

Click any call to open its detail view. You’ll see tabs for:
  • Overview - Basic metadata (date, duration, participants)
  • Transcript - The full conversation text
  • Participants - List of people on the call
  • Invitees - Who was invited (from calendar)

SYNC Tab

This tab is for importing calls from Fathom.

Fetching Calls

  1. Optionally set a date range to narrow results
  2. Click Fetch Unsynced to see available meetings
  3. You’ll see a list of calls not yet in CallVault

Syncing

  • Individual sync - Click the sync button on any call
  • Bulk sync - Select multiple calls and sync them together
  • Sync all - Import everything at once
A progress indicator shows sync status.
If you’ve set up webhooks, new calls sync automatically. The SYNC tab is mainly for importing historical calls or catching anything the webhook missed.

ANALYTICS Tab

Basic metrics about your library:
  • Total Calls - How many calls are synced
  • Calls This Period - Count for selected date range
  • Duration Stats - Average and total call time
  • Participant Frequency - Who appears most often
Use the date range picker to analyze specific periods.

Working with Calls

Selecting Multiple Calls

  • Click checkboxes to select individual calls
  • Use Select All for the current page
  • Selected calls show a toolbar with bulk actions

Bulk Actions

With calls selected, you can:
  • Move to folder - Organize into a folder
  • Add tags - Apply tags to all selected
  • Remove from folder - Take out of current folder

Drag and Drop

Drag calls directly onto folders in the sidebar to organize them quickly.

Tips

  • Use folders for clients - Create a folder per client for easy organization
  • Tags for cross-cutting categories - Use tags for things like “demo”, “sales”, “support”
  • Search in transcript - The search bar searches inside transcripts, not just titles
  • Date filtering - Narrow down to specific time periods when looking for something
