Editing Transcripts

Transcripts from Fathom are generally accurate, but sometimes you need to make corrections. CallVault lets you edit text, fix speaker attribution, and trim unnecessary sections.

Opening the Transcript Editor

  1. Go to the Transcripts page
  2. Click on any call to open the detail dialog
  3. Click the Transcript tab
  4. You’re now in the transcript view

Editing Text

Inline Editing

To fix transcription errors:

Find the Text

Scroll to the section that needs correction.

Click to Edit

Click on the text you want to change. It becomes editable.

Make Your Changes

Type the correct text. Fix typos, add missing words, or clarify unclear sections.

Save

Click outside the text or press Enter to save your changes.
Common fixes include proper nouns (company names, product names), technical terms, and numbers that speech-to-text often gets wrong.

Fixing Speaker Names

Sometimes the transcription attributes speech to the wrong person, or uses generic names like “Speaker 1.”

Changing a Speaker

Find the Speaker Label

Each transcript segment shows the speaker’s name.

Click the Name

Click on the speaker name to open the speaker dialog.

Enter Correct Name

Type the correct name and email (if known).

Apply Changes

Save to update the attribution.

Bulk Speaker Changes

If the same person is mislabeled throughout:
  1. Open the call detail
  2. Look for the Change Speaker option
  3. Select the incorrect speaker
  4. Enter the correct information
  5. Apply to all instances

Trimming Transcripts

Remove unnecessary sections from the beginning or end of calls (small talk, waiting time, etc.).

Trim Before

Remove everything before a certain point:

Find the Starting Point

Scroll to where the real content begins.

Select Trim Before

Right-click or use the menu to select “Trim before this point.”

Confirm

Review what will be removed and confirm.

Trim After

Remove everything after a certain point:

Find the Ending Point

Scroll to where the important content ends.

Select Trim After

Right-click or use the menu to select “Trim after this point.”

Confirm

Review and confirm the trim.
Trimming is permanent. The removed content cannot be recovered. If you need the original, re-sync the call from Fathom.

Deleting Segments

Remove individual segments that shouldn’t be in the transcript:
  1. Find the segment to delete
  2. Click the delete option (trash icon or right-click menu)
  3. Confirm the deletion
Use this for:
  • Duplicate segments
  • Technical glitches captured as speech
  • Sensitive information that shouldn’t be stored

Viewing Options

Raw Transcript Toggle

Toggle between:
  • Formatted view - Styled with speaker labels and timestamps
  • Raw view - Plain text for copying

Timestamp Display

Toggle timestamps on/off:
  • With timestamps - See when each segment was spoken
  • Without timestamps - Cleaner reading experience

Re-syncing from Fathom

If you’ve made edits you want to undo:
  1. Open the call detail
  2. Find the Re-sync option
  3. Confirm to pull the original from Fathom
Re-syncing replaces your edited version with the original Fathom transcript. All edits will be lost.

Best Practices

Fix Important Calls

Prioritize editing for:
  • Calls you’ll reference often
  • Transcripts with many errors
  • Calls you plan to share or export

Keep Context When Trimming

Don’t trim too aggressively. Leave some context around the important parts so the transcript makes sense when read later.

Document Speaker Names

When you know who’s speaking, always fix generic labels like “Speaker 1” to actual names. This makes future searches much more useful.

Check Before Exporting

Before exporting or sharing a transcript, review it for:
  • Typos and transcription errors
  • Correct speaker attribution
  • Sensitive information that should be removed

Transcript Statistics

The call detail shows useful stats:
