A workspace is a collection of calls, folders, and members within your organization. It’s the main unit of collaboration in CallVault — your team shares, reviews, and searches calls inside a workspace.

The My Calls workspace

Every user automatically has a My Calls workspace. It’s personal to you and acts as the default landing zone for calls imported from Fathom, Zoom, or uploaded directly. My Calls is always private — only you can see it. Calls here haven’t been organized into a shared workspace yet, though you can move them anytime.

Creating a workspace

  1. Click + New Workspace in the left sidebar
  2. Give it a name (e.g., “Sales Team”, “Acme Corp Account”, “User Research”)
  3. Optionally add a description
  4. Add members and assign their roles
You can create as many workspaces as you need on paid plans.

How teams typically organize workspaces

There’s no single right answer — use whatever structure reflects how your team works:

By team

Sales workspace, CS workspace, Recruiting workspace — each team manages their own call library.

By client

One workspace per major account. Everyone on the account team has access.

By project

A workspace for a product launch, a specific research initiative, or a hiring round.

By function

A coaching workspace for manager review, separate from a team workspace for day-to-day calls.

Workspace membership

Workspaces have their own member lists. Being in the organization doesn’t automatically give someone access to a workspace — a workspace Admin or an org Admin needs to add them. Each workspace member has one of three roles: Viewer, Editor, or Admin. See Workspace Roles for a full breakdown of what each role can do.

Searching within a workspace

By default, search (⌘K) searches across all workspaces you have access to. You can narrow search results to a specific workspace using the workspace filter in the search panel.

Workspace settings

Workspace Admins can access workspace settings by clicking the menu next to the workspace name in the sidebar:
  • Rename the workspace
  • Add or remove members and change their roles
  • Archive the workspace (preserves all calls but hides the workspace from the sidebar)
  • Delete the workspace (permanent — calls inside are also deleted)
Deleting a workspace permanently deletes all calls, transcripts, and recordings inside it. Archive instead if you just want to declutter.
