Transcription typically runs faster than real-time. A 30-minute call usually transcribes in 1–2 minutes. Longer calls (1–2 hours) typically take 4–8 minutes. You’ll receive an in-app notification and email when transcription is complete and your call is ready to review.

If you downgrade or cancel, your existing calls and transcripts are preserved. Access may be restricted to the limits of the free tier (e.g., call count or workspace limits). Your data is never automatically deleted due to a plan change. You can export your calls at any time before canceling.

Each CallVault account can connect one Fathom account and one Zoom account. If your team uses multiple Zoom accounts (e.g., multiple team members each with their own Zoom), each person should connect their own Zoom account in their individual CallVault account settings. Calls will sync to each person’s My Calls workspace and can be moved or routed from there.

Transcription accuracy is high for clear audio in English — typically 90–95% word accuracy for standard meeting audio. Accuracy can decrease with heavy accents, technical jargon, multiple speakers talking over each other, or poor recording quality. You can correct transcripts manually if needed.

CallVault supports MP4, M4A, MP3, WAV, WebM, OGG, MOV, and MKV. Files up to 2 GB are supported. For very large files or unsupported formats, convert to MP4 or MP3 before uploading. See Upload for the full format list.

Only people who have been explicitly added to a workspace can see its calls. Being a member of the organization doesn’t grant access to any workspace — workspace access is managed separately by workspace Admins. Organization owners and admins have elevated access to manage workspace settings but still need to be added to a workspace to see its calls in normal use.

Yes. Open the call, click the ⋯ menu, and select Move to workspace. You’ll need Editor or Admin access in both the source and destination workspaces. The call’s transcript, AI summary, and tags move with it.

No. Your call recordings, transcripts, and summaries are never used to train AI models. All AI processing is done under strict data processing agreements with our providers, and your data remains your own. See our Security & Privacy page for more details.
